5 Tips to Save and Scan Documents Before Printing

1.Dots Per Inch

Dots Per Inch (DPI) plays a key role in scanning. It identifies the quality in which a print is taken out. If more realistic touch to the original content is required, one must set higher DPI. But on the same time, it will be quite challenging because higher DPI consumes huge time as well as disk space.

Lower DPI escalates speedy scanning. Its lowest limit ideal for printing is 300 DPI. But reprinting requires its readjustment. For it, its DPI should be 600 or more.

2. Ideal dimension and pixels

DPI determines physical dimension of the content while resolution defines image size in contrast to the screen size. Both attributes of the file should be ideally 4000 X 5000 pixels for document scanning. But remember, it is a quality dimension for archiving a document or file. Its downloading on the internet can be time-consuming.

3. File type

File type determines the nature of the file or document. Be it PDF, JPG, GIF and PNG, the find command in the computer searches it in a jiffy. Purpose and type of the document ensure what kind of file should be created. PDF file format provides alternate to alter the text or image as it uses OCR technology. For example, if a business proposal is to store, PDF will be the best file format for it as it compresses easily. Thereby, a big file can be imported and exported in less time for scanning.

4. Line Art:

Visualized data, such as cartoons, graphs and charts, is very effective. It includes black and white contoured lines and curves. If one thinks its scanning is easy to do, it is the toughest battle. The best way to scan a document for printing is by adjusting DPI to 900. Keep it to 300 for the web scanning. GIF file format suits the best to the line art.

5. DPI for Grayscale:

As its name suggests, Grayscale has no colour except the gradients of black. For scanning such images, the DPI should be 300 to 600 or above to save it in the PNG file. But GIF format is an excellent choice to save file for the web.
